Campus Vejle

Campus Vejle forms part of Denmark’s UCL University College, a regional higher education institution and the third largest university in the country. UCL University College works in close cooperation with national and international businesses and institutions to provide student placements and projects as well as applied research, focusing on a range of professional fields, including technology, health, and management in private and public organisations. UCL has more than 10,000 students and about 1,000 employees. As one of the largest educational institutions in southern Denmark, Campus Vejle is home to 2,400 full-time students and hundreds of employees and staff members.

The challenge

Sprawling on an area of more than 30,000 square meters, Campus Vejle has 8 buildings of various ages and with differing technical parameters. The purpose of teaming up with Tungsram Innovative Solutions was manifold, with a key ambition being to set up a state-of-the-art facility management (FM) system complete with 3D models integrated into the system. The aim was to boost the ratio of planned maintenance works to 80% from 20%, which would result in a radical reduction in the number of ad-hoc breakdowns, in order to increase operational and financial predictability. In addition, Campus Vejle sought an updated documentation of all the facilities it owned and requested site management as well as operation and management benchmarking tools to be developed to keep costs under control. 

The solution

The 3D models for all the buildings on the campus were completed by Tungsram Innovative Solutions and its partner, ensuring the data introduced into the system was highly accurate. The resulting set of data was imported into the ArchiFM system, a comprehensive software designed to handle complex FM functions. The data was structured in accordance with the business requirements of the client and provided an all-inclusive overview of the buildings, complete with a breakdown of various premises within the buildings, floor plans, technical equipment and all related data. The immediate results of the project included a fully functional database that the client could use from day one and an automated site management workflow. The drawings were synchronised with the FM database, helping the facility manager locate the site of any potential malfunctioning or breakdown. 

Service teams receive detailed maintenance requests electronically on their tablets from a central operator and once the work is completed, they mark the worksheet as finished and send it back to the central database. The process is fully electronic, work hours/costs are monitored and the central database is always up to date.

The new system developed and implemented by ArchiFM allowed the client to halve the time spent on putting together layout and relocation plans, reduced the amount of overdue maintenance works by 40% and helped with financial planning as spending on breakdown maintenance is now fully documented. In addition, procedures are now in place for incorporating new buildings in the portfolio.
